SUMMARY OF POSITION

We are seeking a motivated Project Accounting Assistant for our growing team in York, PA. The Project Accounting Assistant is responsible for assisting with accounting and administrative duties within Kinsley Site Division. Primary tasks include assisting with project invoicing and payment process, subcontract/purchase order compliance tracking, account payable and receivables, change order preparation, surety and insurance support for estimating and project management. You will be responsible for supporting Project Management to help ensure a profitable, successful project. A successful candidate should possess previous accounting and administrative experience, strong computer skills, good communication skills and a willingness to learn.

TYPICAL RESPONSIBILITIES / ESSENTIAL FUNCTIONS

  • Track compliance of all subcontractors and material suppliers
  • Scan and enter invoices from subcontractors into Viewpoint
  • Review material tickets daily that are received from the field to ensure accuracy of coding
  • Review AP unapproved invoices daily, code or forward to Project Management Team for coding
  • Code AP invoices and verify tickets
  • Coordinate with project estimators for documents execution during bid process and award process
  • Review and request surety and insurance requirements for projects
  • Process weekly certified payroll reports for prevailing wage projects
  • Collect and manage payrolls from subcontractor on prevailing wage projects
  • Directly assist project accountants with any duties required to complete projects on time and within budget
  • Report directly to Vice President – PA Site Division and indirectly to Vice President of Accounting Operations
Requirements
  • Prior Accounting experience preferred; Construction Project Accounting strongly preferred
  • 2-4 Year post-secondary degree preferred
  • Computer and software skills, including Microsoft Office required, Vista/Viewpoint preferred
  • Excellent analytical, organizational and project management skills
  • Strong organization, oral, and written communication skills
  • Ability to work with all personnel within the organization and facilitate communication effectively
  • Ability to work independently
  • Ability to be a team player, flexible, and able to work in fast paced and changing environment
